Client Service/Operations Associate (Part-Time)

Position Overview:

We are looking for a part-time (24-30 hours per week) Client Service/Operations Associate. Responsible for supporting the firm’s Advisors and Financial Planning Associates to coordinate and organize all servicing and administrative activities of the Firm’s existing and prospective client base. The Operations Associate must exhibit great attention to detail, excellent communication and time management skills, good judgment, and an ability to take initiative and prioritize daily tasks. This position has numerous opportunities to be actively involved in various projects as the firm continues to grow.

Position Responsibilities:

  • Manage client service calendar, ensuring clients meetings are scheduled on time and documented in our systems properly.
  • Keep client information up to date across all technology platforms
  • Troubleshoot technology and office issues and find solutions.
  • Create and process client paperwork at Fidelity and through DocuSign. Coordinate the establishment of new investment accounts as well as ongoing maintenance to existing investment accounts quickly and accurately, with emphasis to maintain a positive client experience and effective communication to client and team members on progress
  • Assist in the transfer of funds and securities, beneficiary and address changes, issue checks as requested, and ensure a high level of accuracy with client data
  • Monitor and reconcile daily client activity and data integrity between internal and custodian software to ensure accuracy
  • Maintain electronic filing system of client and firm related documents to be consistent with firm and compliance requirements
  • Improve upon established workflows by identifying bottlenecks and implementing solutions.
  • Document or update standard operating procedures for operations tasks.
  • Be available to support the Advisor with ad hoc client service needs and project support as needed.
  • Assist with organization and data gathering of various reports and research in preparation for client meetings and/or quarterly projects.
  • Organize and execute client education events and client appreciation events.
  • Publish Newsletter and maintain distribution lists.
  • Run billing and compliance reports and data audits

Qualifications:

  • Bachelor’s Degree from an accredited college or university
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Experience with client relationship management (CRM) and portfolio management (PM) software a plus.
